How we collect your personal data

We have set out below, in a table format, a description of all the ways we plan to use your personal data, and the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate.

Who we are

We are The Natural Perfume Academy , a company registered in the Republic of Ireland under the number 416213 at Ballinacourty Hill, Clarenbridge, Co Galway, Ireland, trading under the name Natural Perfume Academy is an online educational and natural perfumery establishment.

We respect your privacy and are committed to protecting your personal data. This privacy statement will inform you as to what data in relation to you we may collect and use in connection with student account on the academy, and tell you about your privacy rights.

Natural Perfume Academy is the controller of your personal data.

Personal Data that we collect about you 

“Personal data” means any information about an individual from which that individual can be identified. It does not include data where the identity has been removed, i.e. anonymous data.

In order to facilitate you as as a student and provide you with appropriate education we need to collect, use and store the following categories of personal data about you:

  • Identity Data: Your full name.
  • Contact Data:  a postal address for receiving your certificate, your email address.
  • Transaction Data includes details about payments from you and other details of services you have purchased from us.

If you fail to provide to us your personal data

If you fail to provide to us any personal data listed above, we may not be able to provide our services to you. In this case, we may have to cancel a service you have requested from us but we will notify you if this is the case at the time.

Your duty to inform us of changes

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Marketing

We may use your Identity and Contact Data to inform you about the products, services and course offers that may be of interest to you.
You may receive marketing communications from us if you have requested information from us or purchased goods or services from us and you have not opted out of receiving that marketing.

Change of purpose

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

 

Disclosures of your personal data

We will not share your personal data with anyone other than the persons listed below for the purposes specified above.

  • Teachers and Tutors;
  • Academy staff;
  • Third-party service providers such as mail couriers, software providers, our accountant;
  • State, government or regulatory bodies that control our compliance with the legislation.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our students, staff or the third parties to use your personal data for their own purposes and only permit them to process your personal data for specified purposes outlined above and in accordance with our instructions. 

 

International transfers

We do not transfer your personal data outside the European Economic Area (EEA) except when your data is stored in our electronic system and the software is located on the server outside the EEA but we always ensure that the software provider has protection measures required by the legislation in place.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those students, staff and other third parties who have a need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and the Irish Data Protection Commission of a breach where we are legally required to do so.

How long will we retain your personal data for?

 

We will only retain your personal data for the duration of your relationship with us and for such period of time thereafter as is necessary to comply with our legal obligations or where we are expressly allowed to do so by law.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

 

Course Retention

As part of our commitment to sustainability and ethical practices, courses older than 2 years are automatically removed from our system. We encourage you to retain your personal coursework and records for your reference.

 

Your legal rights

 

Under certain circumstances, you have rights under data protection laws in relation to your personal data.

  • Right to Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
  • Right to Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
  • Right to Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
  • Right to Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
  • Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios:
    • If you want us to establish the data's accuracy.
    • Where our use of the data is unlawful but you do not want us to erase it.
    • Where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims.
    • You have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
  • Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
  • Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

No fee usually required

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

STUDENT NON-DISCLOSURE AGREEMENT

 

This Agreement is made and entered into by and between the Natural Perfume Academy (“NPA”) and the registered Student of The Natural Perfume Academy (“Student”), past and present, for the purpose of receiving certain confidential information of NPA to enable the Student to undertake the Projects described at the end of this Agreement ("Projects").  

 

NPA and Student hereby agree as follows:

 

  1. "Confidential Information" means proprietary and confidential information of NPA identified as such in accordance with Section 2 below.

 

  1. To be treated as Confidential Information, any information provided by NPA to Student in tangible form shall be deemed "Proprietary and Confidential". Information disclosed orally must be identified orally as confidential at the time of disclosure and if summarized in writing within 30 days of disclosure.

 

  1. No information will be Confidential Information that: (i) is already known to Student, or (ii) is or becomes publicly known through no wrongful act of Student, or (iii) is received by Student from a third party without similar restrictions and without breach of this Agreement.

 

  1. Except as provided herein, Student will not disclose any Confidential Information to any other person.  Student will not use any Confidential Information other than in connection with the Projects.  

 

  1. Student may disclose Confidential Information (i) to other students who have executed non-disclosure agreements with NPA, (ii) in response to the lawful request or requirement of a governmental agency or by requirement of law, and (iii) to the faculty member supervising the Projects, provided that faculty member has signed a non-disclosure agreement with NPA.



  1. All Confidential Information delivered by NPA to Student will be and remain property of NPA. All Confidential Information, and any copies thereof, will be promptly returned to NPA or destroyed by Student upon NPA's request.  

 

  1. The obligations of Student under this Agreement shall terminate at the end of time.

 

  1. This Agreement may not be modified except by a written instrument signed on behalf of each party.  Either party may assign this Agreement to a parent corporation, to a wholly owned subsidiary or a successor of substantially all of the business or assets of the party. This Agreement embodies the entire agreement and understanding of the parties and terminates and supersedes all prior independent agreements and under takings between the parties. The provisions of this Agreement shall be construed in accordance with the laws of the county of Galway, Ireland.  All notices, requests or consents given in connection with this Agreement shall be given in writing and sent by first class mail, postage prepaid, telegram, teletype, telex, cable or email to the addresses listed at the end of this Agreement, unless either party notifies the other party of a different address.

How to make payment

Unless otherwise stated, we accept payment using any of the following:

Debit or Credit Card through Paypal (please note that the types of cards accepted will be notified to you on the website when you place your order) 

Please note that all PayPal transactions are subject to the PayPal Privacy Policy.

3.2. Payment of at least one installment must be received before entry to the course is allowed.

For the Diploma Course, Payment can be made by paying 9 monthly installments of $148.50 (totaling payment of $1,336.50). Or a reduced one-off payment fee of $1,176. See FEES PAGE to pay. There is also an accelerated version of the same course at a fee of 4 payments of $300.00 spread over 16 weeks - For the accelerated diploma course the total cost of the course is $ 1,200.00

Non-Payment of Fees -

What happens if I don’t pay my subscription fees on time?

If you are in arrears in your payment of subscription/installment fees it may affect the following:

  • Access to finals results and obtaining a certificate

  • Access to registration for subsequent courses

  • Access to course materials

Undergraduates:

  • Continuing students can carry a maximum arrears in payments of $148.50 or $300.00 (see above) and still be able to access course material. 

  • If you owe more than $148.50 or $300.00 (see above) in subscription arrears during a course please be aware that:

    • You will not have access to course materials.

    • You will not be able to register for additional courses.

  • Students will not be allowed to graduate until all fees and charges, including fines if they have been incurred, have been paid.

Student fees are required to be paid when the subscription invoice is issued. If you continue to owe fees a restriction is placed on your student account and access to all course materials. 

What happens if a restriction is placed on my account?

If a restriction is placed on your student account it may restrict your access to:

  • Finals Results

  • Registration to new courses

  • Conferring of your certificate

  • Course content and materials 

If you continue to owe fees you may incur late payment penalties of up to $120.

These updated terms and conditions are brought to your notice on NPA and are binding. All students must agree to the terms and conditions of The Natural Perfume Academy.

How can I get a restriction removed from my account? 

To get a restriction removed from your account you must pay;

  • Your outstanding debt

  • Enough to reduce your debt to $148.50 or $300.00 (see above) in arrears of payment. 

  • A registration reactivation fee of $60.00 if you have lost access due to arrears. 

 Recommendations and advice
  • Check fee payments on your own account regularly

  • Make payments when they are due

  • Clear your outstanding balance before the missed payments go over $148.50 or $300.00 depending on which course pace you chose.

  • Notify ruth@naturalperfumeacademy.com if you anticipate that a payment may be late and indicate the date that you will be able to pay.

If you are experiencing financial challenges, contact the Administrator who can provide information and in exceptional circumstances can defer you to the next upcoming course. 

NPA Course Deferment, Retake, and Retake Fees Policies Effective March 2023 - 

As of March 2023, the Natural Perfume Academy will no longer allow students to retake or defer their course more than one time. This is one time in addition to the course for which they originally began, after which the student is required to reapply and pay the applicable “retake” course fees. 

Deferment 

If at any time during the student’s 9-month course, they desire to move to a future course because of unforeseen circumstances which prevent them from finishing their original course, they can request to be deferred to a future course of their choice.

Retake

Students who fail to make good progress and do not finish the coursework or fail to submit their final submissions to their instructor by the deadline of their course will be moved by the administration to retake a future course. 

Retake Fees

Retake fees are applicable if a student has been either deferred once and does not finish the deferment course, or has retaken the course after a first failed attempt and does not complete the retake course, and now wishes to access the third attempt.

Any student submitting coursework or final perfume submissions after the course deadline of their original course will not receive a diploma and will be required to retake a future course and finish all course requirements by the deadline in their retake course in order to receive their diploma. 

We are not unsympathetic to events beyond the student’s control, and in those very rare cases, special allowances for illnesses or injuries may be implemented at the discretion of the administration and staff. 

Retake Fee Amount: $545.00
